Manager ECA and Events

The position reports to the Head of School and is responsible for managing all extra-curricular activities (ECA) along with various events at the school. Also, the resource would need to take care of all events logistics both directly and in a small team closely with the support of teachers and coordinators.

Job responsibilities:

• Meet with the Teachers, Coordinators and Academic leadership team to plan events scope and format, establish and monitor budgets. Prepare schedule for various co-curricular and extracurricular activities class for the entire academic session.

• Work closely with the online portal provider for effective program management. Manage efforts of ECA registration process, prepare timelines for various programs and space planning to ensure smooth running of the ECA program. Provide continuous feedback to the online portal provider to ensure system effectiveness.

• ECA class division as per the interests of students, monitoring ECA classes, ECA syllabus and ECA instructors class performance.

• Continually update the ECA program offerings and give parents and children effective and innovative clubs/ECAs to choose from.

• Maintain the attendance register of ECA instructors and the students enrolled in the ECA class. Prepare the engagement fee statement of ECA Instructors and correspond with the HR/Finance regarding their payroll.

• To observe and ensure that the given ECA curriculum is being followed and their progress is constantly tracked.

• To ensure that all ECA instructors are present during parent-teacher meetings and to update the parents about ECA. Plan efforts to ensure the parents and school expectations of ECA programs are met.

• Have at least one meeting with all ECA instructors per month and to report the minutes to the school management.

• To maintain a duty record file of all ECA instructors along with the list of materials that has been handed over to the instructors.

• To keep stock and check the condition of all ECA equipment and to prepare purchase order accordingly when necessary to replenish old equipment.

• Plan and organize intra-school, inter-school and inter-house sports and extracurricular activities competition.

• Prepare the financial statement of every program organized and report to the school management.

• Plan and organize community service, social campaign, charity programs and educational field trips

• Work alongside the school management to maintain the student discipline and code of conduct inside the school premises.

• Maintain the record keeping of every students regarding their involvement and achievement in extracurricular activities competition.

• Liaise with the Marketing Manager to promote events.

• Closely monitoring the coaches and their performance based on the feedback and other sources and suggest for extending / Renewing / termination of the same with the consultation of Head of School and Coordinators

• The resource has to keep a track of the budget being allocated for running the program vs the actual payout. A report of the same has to be submitted every quarter.
