The Safety and Compliance Clerk is responsible for building and maintaining strong relationships with multiple drivers to seamlessly coordinate them to successfully service customer loads. They will be responsible for communicating effectively and efficiently both internally and externally to achieve high levels of safety and service.
Responsibilities will include:
1. Driver Files
Check and update the accuracy, completeness, and validity of all driver records, including but not limited to:
Drivers license and expiry dates
Driver abstract / Motor Vehicle Record (MVR) and expiry dates
Medical certificates and drug/alcohol testing records, including pre-employment and random testing
Police verification / background check records
PR cards, passports, health cards, and other required identification documents
Annual driver record reviews
Driver training related to CN, CP, and other customer-specific requirements, procedures, and training programs; ensure completion and records are updated in the applicable systems
Follow up with drivers regarding missing, expired, or incomplete documents.
Maintain accurate and up-to-date electronic and paper driver files.
2. Tractor Files
Check and update the accuracy, completeness, and validity of all tractor records, including:
Vehicle registration and insurance expiry dates
Semi-Annual/periodic inspection certificates and expiry dates
Safety recalls and required corrective actions
Maintenance and compliance documentation, where applicable
Insurance-related updates, including changes to insurance coverage/type and updating the applicable records
Follow up with the Shop/Maintenance Team and owner-operators regarding outstanding paperwork and compliance documentation.
3. Trailer Files
Check and update the accuracy, completeness, and validity of all trailer records, including:
Vehicle registration and insurance expiry dates
Annual/periodic inspection certificates and expiry dates
Safety recalls and required corrective actions
Maintenance and compliance documentation, where applicable
4. Fuel Compliance
Open and close fuel pumps according to company procedures.
Monitor fuel usage and investigate fuel-related exceptions.
Follow up with drivers who fuel at unauthorized locations or exceed specified fuel limits.
Open and close fuel cards as required.
Maintain accurate fuel-related records and documentation.
Report unusual, excessive, or non-compliant fuel transactions to the appropriate department.
5. Permits and Transponders
Obtain, maintain, and update required permits and transponders for company trucks.
Monitor permit and transponder expiry dates and ensure timely renewals.
Maintain accurate records of permits and transponders assigned to each vehicle.
6. Compliance Control Tasks
Complete and maintain documentation related to safety and regulatory compliance.
Request required records from drivers, owner-operators, the Safety Team, Shop/Maintenance Team, and other stakeholders.
Conduct driver, tractor, and trailer file completeness audits.
Prepare and maintain expired-document reports.
Track upcoming document expirations and ensure timely renewals.
Follow up on missing, expired, or incomplete documentation.
Conduct monthly driver, tractor, and trailer file audits.
Identify, correct, and document compliance deficiencies.
Maintain accurate electronic and paper compliance records.
Prepare files and documentation for regulatory inspections and audits.
Track corrective actions and follow up until they are fully resolved and closed.
Ensure compliance records are properly organized and readily available when required.
7. Other Safety-Related Duties
Perform any other safety, compliance, documentation, or administrative duties assigned by management.
Assist the Safety/Compliance Team with additional tasks and projects as required.
Overall Responsibility
Ensure that driver, tractor, trailer, fuel, permit, and safety/compliance records are accurate, complete, current, properly maintained, and readily available for regulatory inspections, audits, and internal compliance reviews.
Qualifications
Good verbal and written English communication skills
TMW knowledge will be an asset.
Strong problem solving skills
Proven strength in communication and relation building
Some post-secondary education is an asset
Must be legally allowed to work full time in Canada
Knowledge of hours of service
Transportation Knowledge.
Minimum Graduate
Analytical and critical thinking skills
Proven team player with ability to align position goals with corporate strategic goals.
Shift timing: Night Shift 8:30PM - 5:30AM .
